Job Title:Legal Assistant

Proposed schedule:Monday-Friday 9:00AM to 6:00PM Arizona time.

About the Role:We are looking for a highly detail-oriented and persistentLegal Assistantto assist in gathering medical records and supporting personal injury case demands. This role requires strong organizational skills, the ability to manage sensitive information, and excellent follow-up abilities. The ideal candidate is fully bilingual, has experience in personal injury (PI) work, and understands the importance of data security and HIPAA compliance.

Key Responsibilities:

• Gather, manage, and file a high volume of medical records.
• Communicate extensively with doctors, medical providers, and other entities to obtain necessary documentation.
• Utilize CasePeer (personal injury case management software) to track records and demands.
• Follow up persistently via phone, email, and fax until all required information is received.
• Ensure all records and case documents comply with HIPAA regulations and are securely stored.
• Work within OneDrive for templates and document management.
• Utilize CRM and case management systems to keep information updated.
• Use VOIP phone systems and Nextiva for intra-team communication.
• Support the Lead Case Manager by ensuring case demands are completed efficiently.
• Measure success through the number of demands processed per month (KPI).

Requirements:

• Fully bilingual (English/Spanish).
• Strong understanding of medical record sources and processes; medical background preferred.
• Experience with case management and filing systems.
• Highly detail-oriented and organized.
• Strong follow-up skills and persistence in obtaining records.
• Previous experience in personal injury (PI) casework is a plus.
• Knowledge of HIPAA regulations and secure document handling.
• Experience using CasePeer or similar case management software preferred.
• Ability to work remotely while maintaining high levels of productivity and communication.
